At Skyline Himalaya, we understand that travel plans may change unexpectedly. This Cancellation & Refund Policy outlines how cancellations, refunds, and booking changes are handled for our treks, tours, and outdoor programs.
Our aim is to be fair to both our participants and our team while considering the advance arrangements required for permits, accommodation, transportation, guides, and other operational services.
Booking Confirmation
A booking is considered confirmed only after the required advance payment has been received and acknowledged by Skyline Himalaya.
Unless otherwise communicated, an advance payment of 50% of the total trip cost is required to confirm your booking.
The remaining balance must be paid before the commencement of the trek or as communicated during the booking process.
Participant Cancellation
If you choose to cancel your booking, the following cancellation policy will apply:
- More than 15 days before the departure date: Eligible for a full refund of the advance payment, excluding any non-recoverable expenses already incurred (such as permits, accommodation bookings, transportation reservations, or applicable transaction charges).
- 7 to 15 days before the departure date: 50% of the advance payment will be refunded.
- Less than 7 days before the departure date, or failure to join the trek (No-Show): No refund will be applicable.
Refunds, where applicable, will be processed within a reasonable timeframe after cancellation has been confirmed.
Cancellation by Skyline Himalaya
Although every effort is made to operate trips as planned, Skyline Himalaya reserves the right to cancel, postpone, or modify a trek or tour due to circumstances beyond our reasonable control, including but not limited to:
- Extreme weather conditions
- Landslides or road closures
- Government regulations or restrictions
- Forest department permissions
- Natural disasters
- Safety concerns
- Insufficient number of participants
In such cases, participants may choose either
- A full refund of the amount paid to Skyline Himalaya, or
- Transfer their booking to another available departure, subject to availability.
Skyline Himalaya shall not be responsible for any personal expenses such as transportation bookings, hotel reservations, flight tickets, travel insurance, or other third-party costs incurred outside the booking made with us.
Withdrawal During the Trek
If a participant decides to leave the trek after it has commenced or is unable to continue due to illness, injury, altitude sickness, personal reasons, or failure to follow the instructions of the trek leader, no refund will be provided.
Operational expenses for accommodation, meals, transportation, guides, permits, and logistics are committed before and during the trek.
Transfer of Booking
If you are unable to participate, you may request to transfer your booking to another person or to a future departure.
Such requests are subject to:
- Availability
- Operational feasibility
- Approval by Skyline Himalaya
Requests should be made at least 7 days before the scheduled departure whenever possible.
Refund Processing
Approved refunds will be processed using the original mode of payment whenever feasible.
Processing times may vary depending on banking procedures and payment methods.

Skyline Himalaya reserves the right to modify this cancellation & refund policy at any time. Any updates will be published on this page with the revised effective date.

This is an important clause, but it should be written professionally, not like a list of prohibitions. It should protect Skyline legally while remaining fair and respectful.
I would add a section like this near the end of the policy, before the “Contact Us” section.
Participant Conduct & Right to Remove a Participant
To ensure the safety, comfort, and overall experience of all participants, Skyline Himalaya expects every individual to behave responsibly and respectfully throughout the journey.
Skyline Himalaya reserves the right to refuse participation or remove any participant from a trek, tour, outdoor program, or any other experience without any refund if their behavior is considered unsafe, disruptive, or inappropriate. This includes, but is not limited to:
- Consumption or possession of alcohol, illegal drugs, or other intoxicating substances during the program is where prohibited.
- Smoking or vaping in restricted areas, campsites, vehicles, forests, or any location where it poses a safety or environmental risk.
- Misconduct, abusive language, harassment, violence, or behavior that threatens the safety, comfort, or well-being of other participants, staff members, local communities, or guides.
- Failure to follow instructions provided by trek leaders, guides, instructors, or the Skyline Himalaya team, particularly those related to safety.
- Wilful damage to property, equipment, accommodation, vehicles, or the natural environment.
- Any action that violates local laws, regulations, or the principles of responsible and sustainable travel.
In such situations, any additional expenses arising from the participant’s removal from the program, including transportation, accommodation, or other related costs, shall be the sole responsibility of the participant. Skyline Himalaya shall not be liable for any unused services or refunds resulting from such removal.
